Role Summary
The Personal Assistant to CEO will be responsible for assisting and providing comprehensive support to the CEO in all areas of his/her work in order to achieve the corporate, strategic and operational objectives of the business. The Personal Assistant will also play a key liaison role with all external stakeholders of the business.
This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Responsibilities:
- Strategically manage CEO time: plans and prioritizes the activities of the director taking into account all relevant aspects and factors (deadlines, staff, resources);
- Manage the CEO calendar and set up meetings
- Manage the information flow in a timely and accurate manner
- Assist with board meetings preparation, as needed and interact with the board of directors
- Facilitation of team meetings, organization, set up and execution (schedule attendees, book conference rooms, prepare agenda, compile meeting materials, note taking)
- Attend meetings if needed and assist with the distribution of action points
- Filter emails, highlight urgent correspondence and print attachments
- Respond to emails whereby the request is dealing with appointments/meetings
- Ensures good communication within the team, transmitting correctly and in a timely manner the information on behalf of the director
- Preparing letters, emails, memos, presentation and reports on the behalf of the CEO
- Follow-up on management decisions with appropriate stakeholders
- Perform necessary tasks to aid in the preparation of meetings, events and travel schedule. Handle travel arrangements and itineraries.
- Handle confidential information
- Implements and coordinates business projects within the General Management department, having a proactive approach and permanent improvement of operational procedures
- Support for Issuers’ Association (Asociatia Profesionala a Emitentilor de Tichete – APET):
- Assist with APET meetings preparation, as needed and interact with APET members
- Facilitation of APET meetings, organization, set up and execution (schedule attendees, prepare agenda, compile meeting materials, note taking)
- Attend APET meetings if needed and assist with the distribution of action points and follow-ups (within APET and within Edenred)
- Manage APET’s correspondence, respond to emails whereby the request is dealing with appointments/meetings
- Ensures good communication within the APET members, transmitting correctly and in a timely manner the information on behalf of the APET President
- Preparing letters, emails, memos, presentation and reports on the behalf of the APET President
- Executes any other dispositions given by the director, in the realization of the short-term strategies of the company

Knowledge and Skills:
- Relevant similar experience as Executive Assistant/ Personal Assistant to CEO
- You are graduated from a bachelor’s degree with administrative oriented subjects
- Excellent communication, interpersonal skills, and presentation abilities
- Self-motivated with a strong desire to succeed
- Fluent in both English and Romanian with proficient written and verbal skills in both
- Excellent organizational, time management skills and ability to multitask and prioritize work
- Entrepreneurial attitude, proactive & continuous improvement oriented, self-direction
- Problem-solving and decision making
- Comfortable with a fast-paced environment, ability to analyze and synthesize
- Advanced computer skills, proficiency in Microsoft Office suite
- Trustworthy, discreet and ethical
- Desire to challenge the status quo and bring in new ideas, innovation and approaches
